Assessment 2
Carefully read the following:
Grow Management Consultants specialises in leadership consultancy. It has been operational since 2010. The company offers a range of services to assist companies to assess leadership behaviour of existing managers and performance metrics. They also design and implement customised leadership projects based on the assessment. Services are offered Australia-wide.
The company offers regular professional development workshops on all aspects of leading and managing staff. The workshops are conducted every 3 months in Sydney, Brisbane and Melbourne, where they also double as networking events. The workshops are also offered to businesses, who run them as part of their management education projects. In the 2018/19 financial year, the company ran a total of 86 workshops.
Each year the company runs a Leadership Conference in October. The speakers are invited Industry and academic leaders who are well known and respected within the industry. Most of them rarely speak in public, which means that the Conference is always well attended. It has shown a small profit every year it has been run. The Conference project has not yet been finalised, and it will run in about six months.
This year the conference will be held in Brisbane, where Grow Management Consultants are not yet well known. It is hoped that business people from the Sunshine Coast and the Gold Coast, as well as Brisbane, will lift the company’s brand awareness in those areas.
Dan Streep, the Administration Manager, has been responsible for the Conference for the last two years, and will be in the Project Team for this year’s project, helping to determine and prepare the venue. One of his Administration Assistants, Ben Lee, used to work in event management, and will be supporting Dan with the venue preparation and management.
Donna Chisholm, who is the co-ordinator of the Grow Management Consultants trainers, will help with contacting and lining up the speakers as she knows each of the speakers personally.
Erin O’Donnell, the Manager Networks Marketing Manager, will co-ordinate the marketing material. The Marketing Assistant, Zaid Assis, will be carrying out most of the design and commissioning of the marketing material under Erin’s guidance, but will not be a member of the Project Team.
Edith Partridge is the company’s Accounts Manager, and she will be responsible for the project’s finances. One of Edith’s Accounts Assistants, Betty Ling, will be helping with the data entry, and will be mentored by Edith during the project, as Edith wants her to take over this role in the Project Team next year.
You have recently been employed by Grow Management Consultants as Project Manager. You are responsible for co-ordinating this project, ensuring that they support each other in accordance with the company’s Strategic Plan and Project Management Policy and Procedures.
Janine Guthrie, the company’s CEO has given you their full support, and will participate, and/or intervene, whenever you consider it to be necessary.
Complete the following activities:
- Develop a Project Governance Plan.
As the new Project Manager, you are required to establish an effective governance framework for the project.
Begin by reviewing the case study information and the following organisational documents:
- Project Management Policy and Procedures
- Strategic Plan
- Project Charter
Conduct internet-based research and analysis to determine which governance models could be appropriate for the project and how they should be applied in the case study scenario.
Your report should:
- Identify and analyse project governance models that would be appropriate for the project.
- Determine how the company’s policies and procedures define which project governance models would be appropriate for the project.
- Determine what the expectations of the project’s stakeholders are.
- What the project governance roles and responsibilities will be. You will need to negotiate these with the stakeholders during the upcoming meeting, so begin with the roles and responsibilities that you think would be appropriate and them modify them following the meeting. The resulting roles and responsibilities are to be clear and discrete.
- Describe how authority for project decision-making will be delegated
- Identify any differences between the organisation’s functional authorities and the project’s authorities
- Determine the project position descriptions, including their delegated authorities.

You will present and negotiate your plan at a meeting with the project stakeholders, so save this version of the document as Draft Project Governance Plan.

- Create a presentation
You are required to create a PowerPoint (or another presentation program) presentation that you will use to support you during the stakeholder meeting.
the Project Team meeting will run for about half an hour, so time your presentation with this in mind. Your presentation should be composed of at least ten slides and include images and/or a short video to help explain points and make the presentation as interesting as possible.

- Meet with Project Shareholders.
The objective of the meeting is to get agreement on all roles, including decision-making, as set out in the Project and Project management Policy and Procedures.
You are also required to discuss the systems and processes that will be implemented to ensure effective project governance.
As you may encounter stakeholder resistance, be prepared to negotiate aspects of roles and responsibilities and decision-making delegation.
In the role of Project Manager, you should be prepared to moderate any conflicts that arise between stakeholders.
During the meeting, you are required to demonstrate effective communication skills including:
- Speaking clearly and concisely
- Using non-verbal communication to assist with understanding
- Asking questions to identify required information
- Responding to questions as required
- Using active listening techniques to confirm understanding
You will also need to demonstrate your negotiation skills.
- Revise your Project Governance Plan.
Update the plan to reflect the discussion you have during the shareholder meeting.
Save this version of the document as Project Governance Plan Baseline.
When completed, submit your Project Governance Plan Baseline to the project shareholders.
- Write an email to the Project Team and other relevant stakeholders (your assessor)
The text of the email should be in grammatically correct English, written in an appropriate (polite, business-like) style.
It should introduce and summarise the contents of the attachment and ask for their feedback and approval to move forward with the project.
Attach your Project Governance Plan Baseline to the email.

Carefully read the following:
The initial Project team meeting was four weeks ago and you are required to write the first of the regular monthly project progress reports
Complete the following activities:

Use the information in these documents to write a short (about half a page) on the performance of the project so far and any issues arising from the project governance arrangements that you have established.

The Conference Project has come to a successful conclusion. Tickets were sold out and the speakers were well received. The conference also generated dozens of leads that may become Grow Management Consultants’ clients in the near future.
